How this calculation works

How this calculation works

Minutes are the trap: payroll works in decimal hours, so 7 hours 45 minutes is 7.75, not 7.45. Overtime is then split off at the weekly threshold.

  • Shift minutes = clock-out − clock-in, plus 1,440 if the shift crosses midnight
  • Paid minutes per shift = shift minutes − unpaid break minutes
  • Paid hours per shift = paid minutes ÷ 60
  • Weekly hours = paid hours per shift × days worked
  • Overtime hours = weekly hours − threshold (never below zero); regular hours = the remainder
  • Gross pay = regular hours × rate + overtime hours × rate × multiplier

What the result means

Paid hours are shift minutes minus unpaid breaks, converted to decimal hours the way payroll works — 7 hours 45 minutes is 7.75. Overtime is whatever weekly hours exceed the threshold you set.

Common mistakes and assumptions

  • Writing 7.45 for 7 hours 45 minutes.
  • Forgetting that a shift crossing midnight needs the clock-out time on the next day, which this calculator handles automatically.
  • Assuming a 40-hour threshold applies everywhere; set the threshold your employer or jurisdiction uses.

Worked example

A 6:30am to 4:00pm shift with a 45-minute unpaid lunch, five days, at $24 an hour.

  1. 1Shift length = 6:30am to 4:00pm = 570 minutes (9.5 hours).
  2. 2Paid minutes = 570 − 45 = 525, which is 8.75 hours a day.
  3. 3Weekly hours = 8.75 × 5 = 43.75.
  4. 4Overtime = 43.75 − 40 = 3.75 hours; regular = 40 hours.
  5. 5Gross pay = 40 × $24 + 3.75 × $24 × 1.5 = $960 + $135 = $1,095.

Frequently asked questions

How do I convert minutes to decimal hours?
Divide the minutes by 60. Fifteen minutes is 0.25, thirty is 0.5, forty-five is 0.75. Entering 7.45 for 7 hours 45 minutes is the single most common timesheet error.
Does this handle overnight shifts?
Yes. If clock-out is earlier than clock-in, the shift is assumed to cross midnight and the hours are counted forward.
Are breaks paid or unpaid?
Short rest breaks are usually paid and should not be entered here. Bona fide meal periods where you are relieved of duty are generally unpaid — that is what the break field is for.
Is overtime always after 40 hours?
Federal law uses 40 hours a week, but several states add daily overtime after 8 hours and even double time after 12. Adjust the threshold and multiplier to match your rules, and check with your employer or state labor office.
